Case Export Acceptance Test: Can Another Reviewer Use the File?

Test a fictional case export for completeness, chronology, readable attachments and usable relationships before relying on it for handoffs or a software move.

Define the purpose of the export first

An export can support an internal handoff, a client request, a vendor transition or a business continuity exercise. Those purposes do not always require the same fields or documents. Define the intended use before pressing a download button, and decide who is authorized to receive the result.

Write a short acceptance statement: an authorized reviewer should be able to identify the client, find the relevant sources, understand the task history and locate the current unresolved questions using the exported material. Tailor that statement to the permitted purpose and the agency's actual obligations. Avoid collecting extra information simply because an export option makes it available.

Use a fictional case for the initial test. Include representative relationships and documents without introducing real customer information into an experiment. The result should tell you whether the export is usable, not merely whether the software produced a file. A completed download is the beginning of this review rather than evidence that the exported record is complete.

Build a small manifest of expected contents

List what the fictional case contains before exporting it. A useful fixture can include a client record, two dated reports, one draft, a reviewed response, an attachment and two tasks with different states. Record enough references to recognize each object after export.

Separate required items from optional presentation details. The order of columns may be inconvenient without making a file unusable. Missing relationships between a document and its case can be more serious even when every column appears. Decide how you will check both content and relationships before looking at the output.

Use a manifest with expected item, exported location, observed result and review note. Reconcile the manifest against the actual archive or files. If an export contains references to documents rather than document copies, record that clearly and verify whether those references remain usable for the intended recipient. Do not describe a list of inaccessible links as a complete document handoff. The acceptance statement should match what the recipient can actually use.

Inspect chronology and meaning after export

Open the files with tools appropriate to their formats. Check that dates retain their meaning and that text is readable. A report as-of date should remain distinguishable from an upload date, while a task completion date should not silently become a submission or delivery date.

Check how missing values, multiple selections and long notes appear. A blank value might mean unknown, omitted or unavailable; the export should preserve enough context to interpret it. Truncated notes can remove the qualification that made a statement accurate. Review a deliberately long fictional note to see whether the export retains its ending.

Inspect attachments after download rather than trusting their filenames. Confirm page counts, orientation and the association with the correct fictional case. If a file requires an application account to open, decide whether that requirement fits the planned handoff. These are acceptance questions, not a demand that every product support identical formats. Document the configuration and any limits so the agency can make an informed operating decision.

Test the handoff with a second reviewer

Give the synthetic export and its intended purpose to another authorized reviewer. Ask them to answer five questions: which source is most recent, what concern was reviewed, which file was approved, what response arrived and what action remains open. Do not provide a verbal tour that hides gaps in the exported material.

Compare the answers with the fictional source case. If the reviewer confuses an approved draft with a sent submission, identify whether the problem comes from missing data, ambiguous labels or the handoff instructions. If attachments cannot be matched to their notes, record the relationship that was lost.

Now repeat the exercise without access to the original application, where that matches the intended export purpose. An export that works only while the reviewer can ask the original system for missing details may be insufficient for a vendor exit or continuity plan. Keep the test within approved access boundaries. The purpose is to reveal dependencies before a real handoff makes those dependencies urgent.

Control the exported copy and document limitations

The exported file becomes another location containing information. Decide where it may be stored, who may access it and how it will be disposed of when its permitted use ends. The FTC's business guidance recommends inventorying sensitive information and maintaining an appropriate retention procedure. Include export copies in that inventory.

Record any limitations alongside the result. Examples include unavailable attachment formats, missing history, inaccessible references or fields that require interpretation. A limitation does not automatically disqualify a product; its importance depends on the intended use and available recovery process. Ask for a supported explanation rather than silently filling gaps with assumptions.

Keep the synthetic fixture and acceptance manifest available for repeat testing after major workflow changes. Verify any proposed import into another system separately; a successful export does not establish that a destination can interpret it. The final acceptance decision should state what was checked, which purpose it supports and what remains unresolved. That is a more dependable result than a screenshot showing that the download button worked.

Frequently Asked Questions

Does a downloaded archive prove the case is complete?

No. Reconcile its contents and relationships with a known fixture, then ask another reviewer to perform the intended handoff using the exported materials.

Does export testing require real client records?

Use representative fictional records first. Any later validation involving sensitive information should follow the agency’s authorized access, storage and retention procedures.
